Privacy Policy

This policy explains what information LovenFame Technologies LLC (“HelloPogo”, “we”, “us”) collects when you use our website, web application and Chrome extension, what we do with it, who we share it with, and the choices you have.

The short version. The Ask Pogo extension captures a screenshot of the tab you are on, and audio from your microphone, only when you press capture. It does not record video, it cannot see other applications or other tabs, and it is not running in the background the rest of the time. We use what you capture to generate your documentation and keep it current. We do not sell your data, we do not use it for advertising, and we do not use your content to train AI models.

A screenshot still captures whatever is visible in that tab. Please read section 2 before you capture.

1. Who this policy covers

This policy applies to the HelloPogo website at https://hellopogo.com, the HelloPogo web application, and the HelloPogo Chrome extension. Together we call these the Service.

It covers two different groups of people, and it matters which one you are:

  • Users. People who create a HelloPogo account and use it to capture and publish documentation. For your account data we are the data controller.
  • Your end users. People who read documentation you publish, or who talk to a HelloPogo chat widget embedded on your site. For that data we act as a processor on your behalf, under your instructions — see section 10.

2. Screenshots, audio and page context

This is the most sensitive information the Service handles, so we describe it separately rather than burying it in a list.

The Ask Pogo extension captures only when you tell it to. Each time you press capture, it takes a still screenshot of the visible area of the tab you are currently on. It does not record video, and it cannot see your desktop, other applications, or your other browser tabs.

A screenshot still captures everything visible in that tab at that moment — which can include notifications, customer records, internal dashboards and other people’s personal data, not just the feature you are demonstrating.

The extension includes a blur tool so you can mask sensitive information before a capture is saved. Use it, and close anything you do not want captured before you start.

When you capture, the extension collects:

  • Screenshots of the visible area of the tab, taken at the moment you press capture.
  • Audio from your microphone, if you choose to record narration. The microphone is used only while you are recording, and Chrome will ask your permission the first time.
  • Transcripts generated from that audio.
  • Page context for the pages you capture, such as the address and title of the page, so generated steps reference the right screen and so we can tell when that screen later changes.

Between captures, the extension collects nothing. It does not monitor your browsing, does not read the content of pages you visit, and does not collect your browsing history. It needs permission to run on the sites you visit only so the capture button can appear on the page you are documenting — see section 4.

If you capture something while you are offline, it is held in your browser’s local storage on your device and uploaded when you reconnect. Uploads go over an encrypted connection to Amazon S3 using short-lived, single-use upload links.

You are responsible for what you capture. Before capturing, close anything you do not want recorded, use the blur tool where it helps, and make sure you are entitled to capture what is on screen. If a recording will include another person’s voice or personal data, you must have the legal basis or consent to do that — in some countries and US states, recording someone without their consent is a criminal offence. See our Terms of Service.

If you capture something by accident, you can delete the session from your workspace. See section 12.

3. Information we collect

Information you give us

  • Account details — first name, last name, email address and password. If you sign in with Google, we receive your name, email address and profile picture from Google instead of a password.
  • Workspace and project details — the organisations, projects and documentation you create, and the email addresses of people you invite.
  • Billing details — handled by our payment processor. We receive confirmation of payment and limited card metadata such as the last four digits and expiry; we never receive or store your full card number.
  • Support messages — anything you send us by email or through a form on our site.

Content you create

The recordings, screenshots, audio, transcripts and generated documentation described in section 2, plus any edits you make to them.

Information collected automatically

  • Log data — IP address, browser type and version, operating system, referring page, and the dates and times of requests.
  • Usage data — which features you use and actions you take in the application, so we can see what works and fix what does not.
  • Device and browser storage — we store an authentication token and basic profile information in your browser’s local storage to keep you signed in. This is not an advertising identifier and it is not shared.

We do not use advertising cookies and we do not run third-party advertising trackers on the Service.

4. The Chrome extension

The extension is published as Ask Pogo. It requests only the permissions it needs for features you can see and use:

Access to the sites you visit (host permissions)So the capture button can appear on the page you are documenting, and so a screenshot can be taken of that tab when you press capture. The extension acts on a page only while you are capturing; it does not read or transmit page content at any other time.

Permission to run on the sites you visit is not permission to watch you browse. The extension needs it so the capture button can appear on the page you are documenting and so a screenshot can be taken of that tab when you press capture. Captures are transmitted to Amazon S3 over an encrypted connection (HTTPS) using short-lived upload links issued by our API, and are stored encrypted at rest. A capture taken while you are offline is held in your browser’s local storage on your device until it uploads, and is removed once it has.

5. Chrome Web Store Limited Use

HelloPogo's use of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements.

You can read that policy at developer.chrome.com.

In particular:

  • We collect and use data only as needed for the extension’s single purpose — capturing your screen so we can generate and maintain your documentation — and for closely related operational purposes such as security, reliability and support.
  • We do not transfer or sell user data to advertising platforms, data brokers or information resellers.
  • We do not use user data for personalised advertising, credit assessment or lending.
  • We do not allow humans to read your content except in the narrow circumstances in section 9.

6. How we use information

  • To provide the Service — turning your captures into documentation, publishing it, and answering questions from it.
  • To keep your documentation current by detecting when a screen you documented has changed.
  • To create and secure your account, and to authenticate you.
  • To take payment and manage subscriptions.
  • To provide support when you contact us.
  • To monitor reliability, diagnose faults and prevent abuse, fraud and security incidents.
  • To send service messages about your account, billing or material changes to the Service. These are not marketing and you cannot opt out of them while you hold an account.
  • To send product or marketing email, where you have opted in or where we are otherwise permitted. You can unsubscribe at any time.
  • To meet our legal obligations.

Where the GDPR or UK GDPR applies, we rely on: performance of our contract with you (providing the Service); our legitimate interests (security, abuse prevention, improving the Service); your consent (for marketing, and for optional features that need it); and compliance with legal obligations.

7. AI processing

Turning a capture into documentation is automated. Specifically:

  • Screenshots are converted to text so the steps can describe what is on screen.
  • Audio is transcribed to text.
  • That text is indexed into a searchable vector index for your workspace, which is what the chat assistant answers from.

The chat assistant answers only from your own documentation, and it runs inside your own product. Your index is not pooled with, or searchable by, any other customer.

To do this we send your screenshots, audio and transcripts to the AI provider listed in section 9, and to nobody else.

We do not use your content to train or fine-tune AI models, and we do not permit our AI providers to do so. Your recordings are processed to produce your output and are not added to any training set.

Documentation generated by the Service is produced automatically and can be wrong or incomplete. Review it before you publish it to your customers. We do not make decisions about you that produce legal or similarly significant effects using automated processing alone.

8. When a person can see your content

Your recordings and documentation are not browsed by our staff. A person at HelloPogo may access your content only when:

  • you ask us to, for example when you raise a support request that we cannot resolve without looking;
  • it is necessary to investigate a security incident, abuse, or a suspected violation of our Terms;
  • the data has been aggregated and anonymised so it no longer identifies you or your workspace; or
  • we are required to by law.

Access of this kind is logged.

9. How we share information

We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We share it only in these situations:

Service providers

We use third parties to run the Service. They may process your data only on our instructions and only to perform their function for us.

Other situations

  • Within your workspace. Content you create is visible to other members of your organisation according to the permissions your administrators set.
  • Legal requests. Where we are required to by valid legal process, or to protect the rights, safety or property of HelloPogo, our users or the public. Where we are permitted to tell you, we will.
  • Business transfers. If we are involved in a merger, acquisition or sale of assets, your information may transfer. We will give notice before your information becomes subject to a different policy.

10. The chat widget and your customers

If you embed the HelloPogo chat widget on your website, we process the questions your visitors ask and the answers returned, so that we can operate the widget and report on it to you.

For that data you are the controller and we are the processor. You are responsible for telling your visitors that the widget is there and for having a lawful basis to process what they type into it. Tell your visitors not to enter sensitive personal information into a chat widget.

11. Security

  • Data is transmitted over encrypted connections (HTTPS/TLS).
  • Data is encrypted at rest using strong, industry-standard encryption.
  • Access to production systems is restricted to staff who need it, and is logged.
  • Passwords are stored using a one-way hash. We never store them in a readable form.

No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal data, we will notify you and the relevant regulator where the law requires it.

12. How long we keep information

You can delete an individual session or document from your workspace at any time. To delete your whole account, contact say@hellopogo.com.

13. Your rights and choices

Depending on where you live, you may have the right to access a copy of your personal data; correct it; delete it; restrict or object to how we use it; receive it in a portable format; and withdraw consent you have given. If the GDPR or UK GDPR applies to you, you also have the right to complain to your data protection authority.

If you are a California resident, you have the right to know what personal information we collect and how we use and disclose it, to request deletion or correction, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined by the CCPA/CPRA.

To exercise any of these, email say@hellopogo.com. We will respond within the time the law requires, and we may need to verify your identity first. If you are an end user of one of our customers, contact that customer — we will refer your request to them.

14. International transfers

We are based in the United States and your information is processed in the United States, including by the providers listed in section 9. If you are outside the United States, using the Service means your information is transferred there, where data protection law may differ from your own.

Where we transfer personal data out of the United Kingdom or European Economic Area, we rely on the UK Addendum and the European Commission’s Standard Contractual Clauses, together with appropriate additional safeguards. Contact say@hellopogo.com for a copy of the relevant terms.

15. Children

The Service is a business tool and is not directed at children. It is not intended for anyone under 16, and we do not knowingly collect their personal data. If you believe a child has given us personal data, contact say@hellopogo.com and we will delete it.

16. Changes to this policy

We may update this policy. If a change materially affects how we handle your information, we will give notice in the application or by email before it takes effect. The date at the top shows when this version was published. Continuing to use the Service after a change takes effect means you accept the updated policy.
